You will be responsible for the smooth running of a busy and fast-growing agency from providing a professional and friendly receptionist service to keeping on top of daily tasks and requests as required. Due to reception duties, hours are between 8am-10am and finish time will be between 4:30-6:30 with an hour lunch break. This will be on a rotating basis.

Main Responsibilities

  • To provide a professional and friendly reception service during the day
  • To answer the reception phone and to transfer calls or email accurate and detailed messages as appropriate
  • To ensure that the fruit bowls are filled on a daily basis
  • To provide tea, coffee and water for meetings as requested and to ensure that meetings rooms are cleared following meetings
  • To buy sandwiches for lunchtime meetings as requested
  • To ensure the kitchen and office are clean and tidy
  • To receive and distribute incoming mail and parcels and to manage outgoing post and couriers as requested
  • To oversee the meeting room booking process on behalf of the office
  • To book taxis on behalf of the office staff
  • To liaise with building suppliers and facilities management as required
  • To provide PA support to senior staff as requested
  • To set up computers for new starters and provide clients and staff with support on meeting room equipment as necessary
  • To contribute to the culture of the office by supporting the organisation of company events, off-site meetings and team events
  • To undertake ad hoc administration tasks as required by the role

Skills and Experience

  • Friendly and professional manner both internally and with clients. The ability to present a positive first impression of 4Ps, POTNG
  • Strong organisational skills with the ability to multi-task in a fast-paced environment
  • Employs initiative and is pragmatic, but has good judgment on when to escalate
  • Excellent attention to detail and always follows through on issues
  • Flexible and enthusiastic approach to work
  • Strong IT skills
  • Experience of office administration and telephone work
